Job Description

Ogilvy Sydney is looking for a curious and enthusiastic People Coordinator to join our team.

You will play a key role in the shared success of the People team. You will be providing day-to-day administrative support to the People team, the role will work with the team to ensure HR operational processes and procedures are developed, implemented, and carried out by the people strategy, relevant policies, and current legislation.

Key Responsibilities:

  • Assist and support the People team on a day-to-day basis, including the preparation of employment agreements, and variation letters accurately and promptly
  • Assist with the visa process, liaising with team members on all required paperwork and process
  • Administer the starters and leavers’ process; liaise with Payroll to ensure all necessary details are accurately transferred between the People team and Payroll adhering to monthly timelines
  • Administer the completion of off-boarding activities with IT, Security, and Admin
  • Administer our employee onboarding including coordinating IT set-up, preparation of starter packs, and compliance activities
  • Work closing with the Talent Acquisition Team and ensure effective two-way communication
  • Supporting the delivery of the Ogilvy benefits program;
  • Collate, analyse and report on people data on a quarterly/annual basis as required
  • Maintain and update the HR files, ensuring the files are current and accurate, and with all relevant documents, at all times
  • Ensure the People team is kept informed of any people issues which may require their involvement or which may impact the ongoing talent strategy, planning, and development

About You:

  • Professional HR qualifications or continuing professional development to demonstrate competence. Current knowledge and understanding of employment regulations.
  • Proactive with strong interpersonal skills and a customer-focused approach to working with a broad range of people from varying backgrounds and levels.
  • Excellent time management skills and ability to multi-task and successfully meet deadlines;
  • Demonstrate the need to pay obsessive attention to detail
  • Consistently demonstrating situation sensitivity and confidentiality to ensure that their team is seen as trusted and valued within the organisation
  • A team player and ability to work independently.
  • Understands what culture is and why it’s important; understands how employee engagement impacts how people feel at work.
