MUSE technology is one of Australia's leading social commerce, a fast-growing business based in Sydney but
building up social commerce platform region to global, we currently have an exciting role available for a Team
Assistant to provide administrative support to three members of our Executive Leadership Team (ELT). The role is
flexible to be part-time (shorter hours across 5 days or two full days).
Key Responsibilities
- Full diary management including scheduling meetings, managing time, prompting pre-read emails and reminders for key meetings
- Actively flag and follow-up information/documentation / actions by the required deadline
- Manage business travel including itineraries, booking flights, accommodation, transport and recording relevant information into diaries
- Complete expense reconciliations in line with policy and bookkeeping
- Support with the development and execution of documentation and communication including sending emails, a compilation of PowerPoint documents
- Plan and coordinate meetings/workshops / conferences. Including meeting minutes and agenda
Support with coordination of the ELT cadence as required (meetings, tracking actions/initiative updates, etc)
Undertaking a variety of high quality and timely administrative tasks to assist and support the ELT
Preparing presentations, agreements and reports as directed by ELT
Record and manage business information in databases
Keep online and physical filing in organised manner
Liaising with Social Media Partners/Collaborators
Utilising your exceptional written skills to communicate with external parties.
The successful candidate will have:
- Experience supporting executive-level and multiple stakeholders concurrently
- Ability to work autonomously, employ initiative to find solutions, prioritise, exercise discretion and maintain the highest standards of confidentiality
- Superior organisational, administrative and planning ability
- Excellent interpersonal, communication, and presentation skills
- Proven ability to prioritise and multi-task in a high paced environment
- Ability to accurately prepare documentation to deadlines
- Proficient in Microsoft Office, Apple and computer use
- Be driven, motivated and a self-starter
- Strong communication both written and verbal, and interpersonal skills
- A positive, "can do" attitude
- Be highly motivated with impeccable organisation and time management skills.
