Your Role

Are you self-motivated and enthusiastic to learn new skills? If this sounds like you, we are excited to partner with you. In this role you will work in both general site administration and safety administration, you will be autonomous and able to prioritise a heavy administrative workload to meet deadlines. You will lead with initiative, capable of working across several projects simultaneously to support project teams on-site or remotely. You will engage with all levels of the project team including subcontractors, suppliers and clients. You have great computer skills, are fluent in Microsoft Office, Excel, PowerPoint and have in-depth knowledge of several software packages. If this sounds like you, we want to hear from you.

General Duties and Responsibilities

  • Promote a Safety-First culture on-site through consistent enforcement of company procedures.
  • Take any reasonable actions consistent with the responsibilities of the position and subject to any limitations set by the Project Manager or Group Manager – Safety and Lipman's policies, procedures and guidelines.
  • Be aware of who the clients and stakeholders for the project are.
  • Establish and maintain project safety filing system and records in accordance with Lipman IMS.
  • Attend and take minutes at meetings and distribute as required.
  • Be proactive to assist the project team plan for safety requirements in anticipation of works.

General Administration Support to Site Personnel

  • Prepare presentations and correspondence/communication to project stakeholders.
  • Archive Administration (filing, archiving computer system, etc.).
  • Monitor and obtain documentary evidence that all statutory requirements and contractual requirements/obligations have been met by Subcontractors.
  • Liaise with peers and colleagues to learn and develop a better understanding of ongoing Company activities.
  • Prepare and conduct toolbox talks.

Quality, Safety and Environment

  • Comply with relevant statutory requirements and Lipman's quality, safety and environmental requirements as defined within the Project Plan.
  • Review SWMS and safety plans for compliance and completeness in preparation for final review by the area supervisor/ site manager.
  • Conduct and participate in site activities as required e.g., site inspections, SWMS reviews etc.
  • Ensure necessary plant and equipment onboarding checks have been completed prior to works commencing on site.
  • Assist and participate in incident investigations.
  • Assist with implementing and reviewing emergency preparedness and response requirements.
  • Assist in internal and external systems audits.
  • Identify improvements in efficiency, WHS & Environmental performance, quality and cost.

Your Qualifications/ Experience:

  • Business college qualifications or Proven experience in an administration role and or safety role.
  • Safety-related qualification training or experience is desirable however not essential.
  • Completed or working towards completing a Certificate in Business Administration or Certificate IV in WHS.
