As part of the Corporate Services team, the objectives of Premises team are to support staff to consolidate the Firm's position in the top tier, provide products and services to integrate all offices and to conduct continual process reviews.
The Premises team manages, archiving, safe custody, space management and general facilities maintenance.
This role reports to the Premises Supervisor and assists in supporting the national Corporate Services objectives. This will be achieved by having a 'hands on' involvement with all the functional tasks and responsibilities, particularly in operational areas.
Your Duties
- facilities maintenance e.g. reporting of light replacements, furniture repairs and basic general maintenance
- sending and retrieving archiving & safe custody files
- logging and actioning requests from the Premises Inbox and Service now Helpdesk
- managing supplier and service providers
- processing supplier invoices
- space management
- contact point for operational issues - internal clients, process or service delivery related
- assist in the promotion of personal and team visibility
- other duties as directed by the Supervisor / Manager
Operational
- Assist and respond to all queries in a pleasant, helpful and professional manner
- Perform the day-to-day operations efficiently, accurately, professionally, timely and cost effectively
- Perform tasks of other Premises Assistant when required
- Regularly review procedures to ensure any improvements to efficiency and cost effectiveness can be made
- Assist with general maintenance and consumable supplies
- Monitor and check supplier invoices and submit for approval to Supervisor/Manager
- Respond actively and positively to new tasks and opportunities
- Assist in any ad hoc projects relating to Corporate Services
- Other duties as directed by the Supervisor / Manager
