Job Summary:

We are seeking a motivated and enthusiastic Junior Receptionist/Secretary to join our team. The ideal candidate will be the first point of contact for clients and visitors, providing excellent customer service and administrative support to ensure the smooth operation of our office.

Key Responsibilities:

  • Greet and welcome clients and visitors with a friendly and professional demeanor.
  • Answer, screen, and direct incoming phone calls to the appropriate staff members.
  • Manage the reception area, ensuring it is clean, organized, and presentable at all times.
  • Schedule and coordinate appointments, meetings, and conference calls.
  • Assist with general administrative tasks, including filing, photocopying, and data entry.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Maintain office supplies inventory and place orders as needed.
  • Assist with preparing and distributing documents, reports, and correspondence.
  • Support the team with ad-hoc tasks and projects as required.

Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a receptionist, secretary, or administrative role is preferred but not required.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Professional appearance and attitude.
  • Ability to handle confidential information with discretion.
  • Positive and proactive approach to tasks and problem-solving.
