The Job

Concilio is looking for a part-time Events Coordinator to support the events management team in executing different phases of an event. This means ensuring that every encounter is delivered with an exceptional experience and outcomes for internal and external stakeholders.

The Events Coordinator will manage several concurrent activities and deal with multiple stakeholders. The candidate is expected to have:

Key Responsibilities

  • Support Event Managers in the execution of marketing and events management activities targeting both external and internal stakeholders including:
    • Event Preparation
    • Participant management
    • Managing attendee communication
    • Facilitating vendor onboarding for events
    • Content and database management
    • Logistics and event execution
    • Event-related research and analysis
    • Support event marketing communication
  • Support in the planning and execution of a wide range of client events; including breakfast briefings, seminars, roundtables, conferences, and hospitality events.
  • Support managing branding requirements as needs arise (e.g. branded collaterals, promotional merchandise, and organise the transportation of collateral to event venues)
  • Support research and sourcing of event-related components such as venues, merchandising, entertainment, and equipment hire.
  • Manage room and venue booking for key events, working closely with internal and external stakeholders.
  • Coordinate with multiple teams/vendors (e.g. food and beverage, audio-visual, entertainment, and speakers)
  • Build invite lists for events and manage RSVPs, providing regular updates to the events team.
  • Organise personnel to be present at events for set-up and execution of the event.
  • Arrange personnel to the registration desk and greet attendees on arrival.
  • Create delegate packs and briefing packs for key events.
  • Support post-event evaluation including the compilation of post-event review and survey.

Technologies and Tools

  • Strong working experience with MS Office (Word, Excel, PowerPoint) and working knowledge of Outlook, MS Teams, and Notion.

Qualifications and Experience

  • Preferably acquired or acquiring a recognised qualification in related disciplines such as Marketing, Business Studies or Communications.
  • Ideally 1 to 3 Years of relevant work experience
  • Project planning and management skills valued
  • Strong relationship-building skills
  • High level of accuracy and attention to detail
  • Fresh grads and students pursuing their studies at TAFE are highly encouraged to apply.
