Your role

Your role as an Administration Officer is responsible for the coordination and smooth running of the office. This role will perform a wide range of administrative, office and facilities management, reporting and business capability services to support the delivery of the operations management team outcomes.

Administration

  • Manage reception phone calls and meet and greet all attendees at reception and direct them to appropriate services/or people
  • Maintain incoming and outgoing mail including mail register, mail collection, data entry, and directing incoming mail and packages
  • Provide general administration, clerical support, project support and daily organisation support across the Aurora team as directed

WHS Coordination

  • Oversee the WHS aspects of all premises
  • Receive and process incident reports and hazard identification, collaborating with the Operations Manager over corrective action
  • Oversee the running of the WHS committee including scheduling meetings, agendas, minutes and tracking action items

Facilities Management

  • Manage and document supplier relationships, negotiating costs effective purchasing arrangements with real estate agent, courier services, utility providers, cleaners, office equipment suppliers and consumable vendors
  • Oversee security arrangements across all sites
  • Oversee and coordinate all maintenance requirements across all sites
  • Maintain fleet car booking, services and cleans
  • Manage process for access to head office facilities such as meeting rooms, office keys, garage keys and other relevant equipment

Child Safety

  • Comply with the National Child Safety Policy, Code of Conduct and Procedures.
  • Champion the rights of children and young people within the organization to drive a culture focused on child safety and protection.
  • Maintain confidentiality around data and information relating to the children and young people participating in our programs.
  • If relevant to your role, provide a welcoming and safe environment for children and young people.

About you

Qualifications:

  • Proven experience in providing quality customer service and general administrative support within an organisation
  • Good oral and written communication skills to effectively facilitate and negotiate outcomes with a wide range of people
  • Demonstrated ability to assist with small projects, draft processes, and business documents with a high level of attention to detail
  • Demonstrated experience coordinating and managing various contractors, services, office facilities and WHS requirements
  • Experience with working cooperatively and collaboratively in a team with the ability to multitask and plan across a busy schedule
